Position Overview:
The Data Collector is responsible for collecting, updating and managing data throughout all stages of the company’s operations and projects. This role ensures that documents and information meet internal standards, comply with data-protection regulations (such as GDPR), and are accurately translated and stored. The Data Collector also manages the document lifecycle by requesting required files from clients at each stage, coordinating file transfers with the Customer Care team, maintaining and archiving client records and developing efficient mechanisms to ensure smooth data flow without conflicting with regulations in Germany.

Responsibilities
- Data Collection & Updating – Gather relevant data across all units and projects, continuously update files to keep information current and verify accuracy against company standards.
- Document Requests & Client Communication – Communicate with clients to request necessary documents at each stage of their engagement, ensure the correct receipt of these files and provide guidance on requirements.
- Customer Care Coordination – Collaborate with the Customer Care team to facilitate the collection, delivery and uploading/downloading of completed or required client files, ensuring seamless information flow.
- File Storage & Organisation – Save, label and index documents in the appropriate systems; ensure that records are easily accessible and that translations are accurate and aligned with the original text.
- GDPR & Legal Compliance – Apply GDPR and other data‑protection regulations when collecting, storing and processing personal information, ensuring all data entered and stored complies with legal requirements.
- Data Flow Process Improvement – Design, implement and enhance mechanisms that allow data to move smoothly and efficiently between departments without violating German regulations or internal systems.
- Document Lifecycle Management – Serve as the custodian of client files, overseeing their entire lifecycle—including archiving, coding, and safeguarding documents and ensuring that they remain secure.
- Verification & Quality Control – Review translations and data entries for accuracy and conformity to standards; adjust and correct as necessary.
- Collaboration with Teams – Work closely with various teams and units to ensure that data requirements are understood and that information flows effectively across the organization.
Must Have
- Bachelor’s degree in Business Administration, Information Management or a related field.
- Experience in data management, document handling or administrative support, preferably within a regulated environment.
- Familiarity with data‑protection laws such as GDPR and experience implementing compliance measures.
- Strong organizational skills, attention to detail and proficiency in using information management systems.
- Effective communication skills, with the ability to coordinate across departments and interact professionally with clients.
- Ability to design and improve processes to enhance efficiency and data integrity.
- Meticulous and detail‑oriented, ensuring high accuracy in data handling.
- Organized and methodical, capable of prioritizing tasks and managing multiple responsibilities simultaneously.
- Proactive and collaborative, willing to work with different teams to achieve smooth data operations.
